Road Map To Realize Your Vision

Raise Your Standards:
For getting your desired success, you have to elevate your standards to a high level and you have to make sure that you will not settle for less than what you deserve. This is the first key towards your success in achieving your goal.
And it requires a lot of courage & effort. Raise in standards without change in your previous practices cannot be achieved, if you will be repeating your previous behavior continuously. It is just like a Fly confined in a closed room & hitting its head again & again on the window where it would be finding its way to flee from room but it is not trying to search a new place to flee.
Not only we have to raise our standards by bringing continuous Improvements in our behavior and practices, but keep on constantly trying to find new ways of doing the same. .

Firm Belief on Your Set Standards:
If you and I will not have a firm belief in our raised standards then we can’t raise our standards as we want. Self belief is the firewood for getting your set standards. Once you set & raise your standards then you must not even think about settling on less. You must have a belief that you must meet your raised standards at all costs. There should not be a second thought that haunts your mind.
Every belief has some reference, for understanding just take the believe as a table which requires four supporting legs to stand on, even if one of the leg will be not equalize other in terms of support, the other three will be shaken up and whenever anybody will give pressure to empty weaken side the table will plunge hard to ground, it is like our Belief.
A sales person has raised his standards and he might have has a belief that now he will not settle for less than Sales Manager – to make that table unshaken,. He has to build four firm references or legs to make his table (his belief) remain standup firmly, First of all that he is Good at sales, Sales is his aptitude, he is passionate about sales AND he can achieve any assigned target. He has all competencies & KSA (Knowledge, skills, abilities) to take up charge as Manager Sales and manage sales.

Developed A Strategy & Right Approach:
You have raised your standards and developed a firm belief, but now you have to develop a strategy that how one can be a Manger Sales. For this he has to adopt the “CANI approach -Constant and Never Ending Improvement”.   A simple definition of a person's self-image is their answer to this question - "What do you believe people think about you?".There are chronic tips to get an ultimate success by developing a strong self image .

No More Excuses :
Stop furnish excuses for failures , blame others & Bad Luck etc. Well there is no failure or success but results are there . For unsatisfactory results we get experiences & from satisfactory / expected results we get  Achievements. We usually figure out reasons from unsatisfactory results for the outer world in the shape of lame excuses but it really  hurts our self image badly. There are result no failure or success , this is we who interpret results as Success or  Failure.

Pride in Yourself:
Self pride is the sense of your worth & value as a person in your own eyes. It is about how much do you like  yourself? Because until & Unless you will not have pride in yourself then nobody will have proud on you . Value yourself as much high much you can . You should have a pride at your family , on your school , College  university , Organization because if you will not value your institution or organization then nobody else will value it , develop an extreme  pride for yourself  .

Take care of your Appearance :
Especial care should be given to you appearance & wardrobe . You should  adopt your appearance as you would like to be as a Successful Person i.e. visualize your attire what you will put on once you will achieve your goal and become successful  , there is saying that you should wear clothes at your current job which is requirement of your next job – dressed yourself for next job or role .

Keep Yourself in Good Shape:
You must do some physical exercises to keep yourself in a good shape & remain physically fit , because if you will be doing physical exercises then  your brain will be getting more oxygen & blood circulation . You will not only enjoy your  dressing  but also you will feel good about yourself & feel more confident , which will ultimately emerge a positive self image which is a key for success.

Select what you  allow to go into your brain:  
You have a most precious asset with you “The Brain” ; use it in  proper manner & positive manner for that you have to set filter over the things i.e. only positive things should be allowed to go into your brain. What happen, when you throw garbage in a empty box ,eventually  it will become a trash box  and only rubbish & nonsense things would be coming out of it. Same is the case with Brain if negative & cynical things would be placing into brain , it will depict on yourself image and it is an impossible thing to get an ultimate success with negative self-image.  

Believe in yourself – you Can:
You can do anything but not everything , you must have a definitive confidence on yourself that you can do anything. If you will be hesitated or if you will not believe in yourself  then believe me you can’t accomplished your desire task as you want . Have you ever observed the Horse who jumps over the Obstacles very easily . How does he Jump ? actually he builds  a telepathic relationship with rider’s  brain & heart,  due to the self believe of rider ,he catches the signal of can do attitude, if rider will hesitate & doubtful  , horse will never going to  jump over the obstacle ,. It is necessary to have a firm believe in yourself & can do attitude to get an ultimate success.

No fear to Mistake :
The person who does nothing  , he does not make mistakes and eventually does not get success. We should not have any sort of fear about mistake and errors , we just keep on working towards our goal of success. Research shows when its been asked to successful entrepreneurs that “what is a Key to success? Nearly all replied in a same manner , they just keep forward & taking steps towards their destiny , most of the time they made lot of faults and mistakes but the credence of right step supersede the all effects of such mistakes . It is very vital for emerging a positive & strong self image that you must be making positive statements and using it in your daily life . There are some definite tips hat say to yourself “ you can do” , “ Do it now” , “ I am master of this thing” , I have all the potential to get success” before starting any task . “I am the most confident & successful person on the universe” paste it on your car’s dash board , on your motor bike speed meter , in your wash room where you usually brush your teeth & wash your face. Daily in the morning & in night when you go to bed for sleep , just repeat those words which is your weakness i.e. “I am good at English” or “I can face the audience very easily” etc. It will boost your confidence & you can overcome your weaknesses.

There is very famous saying that “ the person is been knowing by his friends’ company” , if you want to build your positive self image then you must join the company of those people who would be full of enthusiasm , Positivity , energy , Zeal. Check your environment before joining any company and avoid negative & pessimistic environment .

It is very necessary for emerging a positive self image, self respect & self esteem that you must do some sort of charity work . Help others to accomplished their tasks . It will emerge the sense of achievement which will reflect on yourself image .

Craft of Delegation



One of my friends is working on a managerial position with a team of 4 people who are reporting to him. But I have never found him free, calm or in leadership role. He always seems to be occupied with messy desk, working at different tasks. He is not doing a job from 9 am – 5 pm but rather 9 am – 9 pm. 
When I asked him “why don’t you delegate some tasks to your team & then you could be free to dedicate some time to your personal development as well”; he replied “they will not do it as good as I do” and I don’t have time to train people and then to check the whole task again. So I rather prefer to do it myself to save time.

Replying to his rather shoddy answer, “yes initially it will be time consuming but as the time will pass on, maturity will emerge in the subordinates to whom you have delegated.

Actually, delegation is the best possible use of time & talent of the employees - matching the right talent with the right job to accomplish the mutual organization objective and being a delegator, we add value. One thing is very vital that what tasks are being delegated, before delegation of task here are some questions which should be answered;

• Can this task be done by some other person?
• Can I contribute towards some other strategic and worthwhile objectives?
• What value will I add once the delegated task will be completed?

Delegation enhances empowerment and synergy among the employees which results in higher motivation, professional growth , successor grooming, Trust Building , Effective Span of Control & reduce the bureaucracy in terms of approvals & minor decision making. 

One manager by delegating his routine operational task to his / her subordinates can stay more focused towards strategic and worthwhile objectives. S/He can add value in delegated task on completion. It flourishes the abundance mentality – there is lot more for others and every one get the pie of cake equally. Effective delegation is a crucial tool for effective succession, it is a two way process in the real sense. It is the craft of delegation that it is Effective for Successor & Manager too. The main task of the Manager to grow his/ her subordinates and once people grow, the organization grow. When organization grows everybody moves on higher positions and when it fails to happen the succession and progression becomes dependent on bringing in new people from outside. Individual success will derive the team success & ultimately team success will drive the Organization’s success. 

Delegation is not happen for freeing up the boss’s time from his task or from worthwhile objects but it is an effective management tool to make one more responsible for his/ her delegated tasks.
Following are the Steps for Effective delegation;

Win/ win Agreement : It is the most important phase of delegation , first we have to seek the willingness of recipient - to whom we are about to delegate any task or responsibility and create the win/win situation because it is a two way process ,it will lose its effectiveness if we impose it to any one without getting others agreement. Mostly delegated task fails due to win / lose situation and to make it effective we have to create a win/ win agreement. Delegation should be done with the purpose to merely delegate the task but it should be done for matching the right talent for delegated task.

Desire Results: Once you get the Win/ win agreement on delegated task, then specify them the desire result / outcome – why the task has been delegated to them /someone? In this phase we should focus/ discuss on desire results and outcome rather than the method/ process for accomplishing a task.

Set Goals & time lines: After producing a win/win agreement & intimation of the desired results, we should ask recipient about his plan, goals & time lines – Start & finished dates. Kick of meeting should be done after having a win/win agreement on desire results .It is the responsibility of the delegator that he has to track the set goals & time line periodically & mentor him if recipient of task is being deviating from his agreed track.

Utilization of Available resources: It is not limited to the human resources utilization only - match the right talent with the right job, but also about the utilization of finances, environment, opportunities etc. we should provide all the available resources to the recipient to make him successful because best utilization of available resources is the key to success in delegated task.

Authority: Balanced authority is a must for the success of the delegated task. This means that the person whom you have delegated a task must have corresponding authority to the task, so that he/she does not refer back to you on petty matters and can make decisions on the spot, if required. This will boost the level of confidence for taking up even higher responsibilities next time by the individual and save so much time.

Accountability : Time to time updates on delegated task make the recipient accountable , we should not intervene in the method/ process of work which is being followed by the recipient rather effectiveness of desire outcome and results, otherwise recipient’s ownership will be hurt. Delegator should communicate him clearly; what is expected from him? And what is his actual performance against the delegated task?

“Supervision” the way you receive and agree to do delegated tasks is one of the central skills of 'Managing upwards'. Therefore while this page is written from the manager's standpoint, the principles are just as useful for people being managed.

SIx Sigma in HR

Six Sigma originated as a set of practices designed to improve manufacturing processes and eliminate defects, but its application was subsequently extended to HR and other types of business processes as well. In Six Sigma, a defect is defined as any process output that does not meet customer specifications, or that could lead to creating an output that does not meet customer specifications and in HR defects defined as follows;

• Extended time taken to fill the position and adverse recruitment.
• Performance less Appraisals and bonus distribution.
• Unsubstantiated TNAs for Organization by HR
• Policies not aligned with Organizational Environment , Mission & Business Practices etc.

The idea of Six Sigma was actually “born” a Motorola in the 1970s, when senior executive Art Sundry was criticizing Motorola’s bad quality. Through this criticism, the company discovered the connection between increasing quality and decreasing costs in the production process. Before, everybody thought that quality would cost extra money. In fact, it was reducing costs, as costs for repair or control sank. Then, Bill Smith first formulated the particulars of the methodology at Motorola in 1986;

The DMAIC project methodology has five phases:
Define the problem, the voice of the customer, and the project goals, specifically.
Measure key aspects of the current process and collect relevant data.
Analyze the data to investigate and verify cause-and-effect relationships. Determine what the relationships are, and attempt to ensure that all factors have been considered. Seek out root cause of the defect under investigation.
Improve or optimize the current process based upon data analysis using techniques such as design of experiments mistake proofing, and standard work to create a new, future state process. Set up pilot runs to establish process capability
Control the future state process to ensure that any deviations from target are corrected before they result in defects. Implement control systems such as statistical process control, production boards, and visual workplaces, and continuously monitor the process.

By adopting DMAIC approach in HR for implementing Six Sigma;
 • HR has to devise such policies & follows the such practices that enhance the employees performance quality and creativity without incurring the extra dollar.
• Employ such work force that they take the responsibility rather than doing a Job. Once you have best people under your belt then HR does not need to motivate people because best people are self motivated and they perform responsibilities than Job.
• HR must create a cost centers for every activity so that ROI should be calculated along with performance assessment.
• Once you a have concrete results with cost centers then we have an every opportunity to optimize our current practices as per six sigma standards.
• Construct an HR metrics against every HR activity to control & make it accountable.
• Implement the MBOs ( Management By Objectives) instead of conventional PMS System and evaluate the assigned objectives on monthly basis .
• Performance base reward system evolution .
• Correlated the MBOs performance based promotions to succession planning .

Tips for Resume Writing - Create an Awesome First Impression




" First Impression is the last Impression " a very well known phrase , but  usually we get it wrong when we go for interview because we have already made our first impression over the recruiter when they received our resume , This is a resume which  craft our first impression then lands job interview call but unfortunately  we don’t give much significance to our resume as we should given it and we merely treat it as piece of paper  and we thought once we will get an interview call then we will make awesome First Impression , usually we wait for this opportunity to make the  first impression but in reality it’s been already developed. Being a recruiter we have only 40 - 60 seconds for resume short listing , yes 40 - 60 seconds only , so you make have only 40 - 60 seconds to land your job interview which will bring a job offer for you. 

What is Resume ?

  • The answer to :
  • “What can I do for you Mr. Employer?”
  • “This is how I am going to make your money!”
  • Highlights the relevant facts about you, your education, and your experience.
  • Makes the first impression about you.
  • Positions you in the mind of the employer, thus creating a value.
  • The interview gets you the job, the resume gets you the interview!

# Use 8-1/2 x 11inch ( A4 size) white or off-white paper.
# No Need to show your picture until & unless not required by Employer.
# Print on one side of the paper.
# A resume of a Fresh Candidate should NOT BE more than one page & Experienced resume should be on 3  Pages , if experience is  less than ten years.
# Use a font size of 10 to 14 points.
# Use non-decorative typefaces and choose only one font.
# Avoid italics, script, and underlined words .( only main headings must be underline)
# Do not fold or staple your resume
# If you are going to mail your resume through courier, choose a large envelope.

What should be in Your Resume?
Put in everything that would point out why you would be good at the job.

 1) Contact Information
 Your Email should be your name preferably  , 95 % resume rejected due to unprofessional Email addresses.

2) Objective
  • Your objective is a statement of what kind of job you are seeking.
  • Keep it short & Clear.
  • Aligned with the job applied.

  • Example:
      • “ To obtain a position as an Administrative Assistant in a hospital setting.”
      •  
  • Example:( Not Recomended)
  • “Contribute, explore, innovate, improve, profit and benefit in the management with an employer that can afford the luxury of having some one like me thinking out of the box.”
  3) Career Summary 
  • It is a concise section about what you have to offer to a prospective employer in terms of , Education ,Experience, Skills, Results, Interests or you job Objective.
  • Example for Professional :
  • “About X years’ hands on Human Resources working experience with multinationals & local organizations. XYZ University’s Post graduate with MPA specialized in Human Resources. Proficient in HRIS (Oracle's Application software version 10.7), ERP (Oracle 8.1.7.4 based), MS Office, Windows XP and the Internet.”
  • Example for Fresh Candidates:
  • XYZ University’s Business Graduate with 3.5 GPA. Have done six months Internships in Local & Multinationals like XYZ , Proficient in MS Office, Windows XP and the Internet.”
  4) Professional Experience

  •  It Include your work experience in reverse chronological order that is, put your last job first and work backward to your first, relevant job. Include:

  • Title of position ( can be mold)
  • Name of organization
  • Location of work (town, state if applying for out of station & abroad)
  • Dates of employment
  • Describe your work responsibilities with emphasis on specific skills , details and achievements.  Check the Job Description web page for ideas.
Exclude
      • Company Comprehensive History.
      • Company Logos .
      • Street address, supervisor names, telephone number or reason for leaving.

5) Achievements

  • Extra Mile; you have covered for employer

Innovative HR Practices - Vacation Donation

The Basic idea behind that every employee will forego/ donate his/ her one leave atleast from their availiable leave account. The purpose of vacation donation is to provide financial assistance during approved unpaid leaves related to life-threatening illness or injury of self or immediate family members, for childbirth, adoption and foster care placement or death of an immediate family member. This policy visibly demonstrates the one Organizations commitment to work/life integration.The Basic idea behind that every employee will forego/ donate his/ her one leave atleast from their availiable leave account.

Eligibility & SOP ( Proposed may be Alter as per Need of Organizaton )
A. The recipient may request to receive donated vacation to provide care for their own or an immediate family member’s life threatening or terminal illness or injury. The use of donated vacation may also be requested for the birth, adoption or foster placement of a child or for the death of an immediate family member.
B. The recipient must have a regular appointment that is eligible to accrue sick time and must have exhausted all paid leave balances before using donated vacation.
B. Sick and compensatory time may not be donated.
C. Donated vacation can only be applied for after unpaid leave is approved.
D. The recipient may use up to 4 weeks of donated vacation time (up to160 hours, prorated based on FTE).

E. Donated vacation may not be used to exceed the recipient’s normally scheduled work hours per pay period and must be donated in 8-hour increments.
F. Leave taken using donated vacation may not be counted in the calculation of unpaid leave balances.
G. Donated vacation may run concurrently with Family Medical Leave.
H Donated vacation hours are converted into an equivalent number of sick time hours.
I. Unused donated vacation hours are forfeited and will not be returned to the donor.

Establishing an Open Communication

A very few organizations follow the Best HR practices of " Open Communication" within the organization. It is an extremely strapping tool for management and HR  to get the genuine information without any stumbling block .This means, everybody will know that if any wrong doing will be occurred with anyone then one can blow the whistle. It creates a strong check & balance on information's authenticity as well i.e. in conventional corporate culture ,  some person is liable from the different departments to provide the real inside story to the management or HR , usually they manipulate the information for their own interest or to promote somebody else's interest, this thing would have been eliminate by opting Open Communication policies. Following are the ways through which one organization can built a strong open communication channels;

1 ) Suggestion Boxes :
Plant a transparent Suggestion boxes specially at reception area/ front desk for customers , near washrooms & lock Rooms, make a mechanism to check the suggestion box once in a week and make sure to employees that anything , anything you have in your mind , just share. It is not necessary that suggestor should identify him/herself , one can keep his/her identity confidential.

2 ) Grievance Policy :
Complaint in written form became a grievance , established a grievance framework within your organization , Encourage employees that they should resolve their differences and complaints at their departmental level , involve their supervisor to get resolve the things but if it doesn’t work then they have a right to raise a Grievance against any wrong doing.

3 ) Open Door Policy :
Every manager's door is open to every employee even CEOs room is open. If your suggestion didn’t notice , if your grievance didn’t get the justice, then you can raised your grievance in Open door policy with CEO . It diminished the bureaucratic environment for the organization  and increase the flow of real information on the ground .

4 ) Tell The CEO Program:
Start the Tell The CEO Program on monthly basis for unique ideas to flourish business , the ideas which didn’t get wed by your supervisor due to any reason , You can share those ideas with CEO, get reward high to all unique and short listed ideas on monthly basis in a shape of ceremony headed by CEO him/her self.

5 ) Exit Interviews :
Ensure that every separated employee must be gone through in exit interview, It is the information which you can get only separated employee not from your current employee.

6 ) Set up an Open Communication Committee:
To avoid biasness from the environment set up a Open Communication Committee comprises on junior & senior employee from different departments , elected for a Quarter by Sr. Management throughout organization.

In todays fast moving information era , we cant ignore any information specially from leaving employee and we should treat the all info as Area of improvement rather as critiques. Following are teh steps to make your Exit Interview fruitful as much as you can ;

1 ) Treat the leaving associate as a King.
2 ) Assigned him the Role of his Manager.
3 ) Should show symphaty & build emphaty with leaving employee to fetch the real information .
4 ) Give him to chance to speak as much as possible.
5 ) Listen him not hear .
6 ) Should greet him very warmly & solve his all Full & Final Settlement issues .
7 ) Take on Last working Day .
8 ) Exit interview should be taken in private place.
9 )Ask your CEO/ Director / MD must meet with leaving employee whether for one minute.
10) Driver action item on exit interviews so that every one give value to Exit interview .
11) Share the Exit interview with all satke holders with thier comment on Exit intervierw.
12 ) Last but not least ensure him that his / her comments will drive the solid  actions in concern fields/ depts/ Managers .
